PTA Board Descriptions
Each board position and its various roles are listed below. Each one has its own unique needs; and some are more involved than others.
President
Preside all the meeting of the association and the executive board. Sign all authorizations for payment as required by the executive board, or association. Be the official representative of the association at district meetings. Have all newsletters, flyers and/or notices approved by the principal, prior to distribution. Be authorized to sign checks. Oversees and coordinates the work of an executive board to run a PTA effectively. Serves as the official contact, communicator and representative of a PTA.
Vice President - Membership
Organize and keep track of paid members, including collecting dues. Create desire to become a member including membership drives and sharing information on how to become a member. Have membership tables at certain events like Open House and Back 2 School Night.
Vice President - Fundraising
Works with committee and other chairmen to plan and organize programs for the school year. Collaborates with principal, PTA president, other committee chairmen and campus student groups to coordinate, plan and implement programs. Develops annual program calendar and presents it at PTA association meeting for adoption. Oversees and delegates volunteer recruitment for implementing and running programs.
Vice President - Communications
Must have access to a computer, and be able to access the internet. Must keep an email list for every PTA member. Must send out regular emails to members about meetings and activities. Must be able to coordinate volunteers for events. Keep social media channels updated with important information about programs and events. Keep website organized and share important information about programs, events, meetings and more. Handle email communications.
Spiritwear
Collect forms and monies, place orders, and deliver Spiritwear orders. Handle inventory and keep it organized and replenished. Fulfill orders through website. Come up with new designs/keep original designs that are then voted on by the Board and replenish stock while staying in budget.
Secretary
Keep an accurate record of the proceedings of all meetings. Be prepared to refer to minutes of past meetings. Keep a current list of all paid members. Co-signs formal papers with president: authorizations for payment, resolutions and formal letters. Handles PTA correspondence as directed by the president. Maintains and preserves PTA records and important documents to pass on at the end of the term.
Treasurer
Have access to a personal computer and knowledge of Quicken Books. Must be an authorized signer on the account. Keep track of all deposits and withdrawls. Must provide a treasurers report at association meetings. Pays all PTA bills as authorized by board or association. Ensures taxes and reports required by PTA bylaws, insurance or federal and state governments are completed and submitted by the due dates.
Auditor
Audit the books and financial records of the association twice a year. Chairs a committee to audit the books and financial records of a PTA semi-annually to determine their accuracy. Presents written reports on audits to the board for review and the association for adoption. Forwards copies of adopted audits to council/district PTA as indicated in unit bylaws.
Historian
Assemble and preserve a record of the activities and volunteer hours of the association. Assist the president with the presentation of the association’s annual report required by the California State PTA. Displays or presents brief overview of PTA year at meeting near the end of the school year.
Parliamentarian
Must oversee president’s agenda. Oversee all meetings and make sure they are run correctly. Chairs Bylaws committee to review unit Bylaws each year and revise bylaws every five years. Arranges nominating committee’s first meeting, providing information on nomination and election process. Is entitled to all rights and privileges of membership, including the right to make motions, debate and vote.
